Privacy policy

TankVault helps septic service companies and homeowners keep track of onsite sewage systems. This policy explains what we collect, why, and the choices you have.
What we collect
- Account: your email address, and your name if you add it.
- Company details (service companies): company name, phone, address, operator name and license number, trucks and disposal sites.
- System records: property addresses, owner names and contact details, county parcel IDs, inspection answers, photos, lab results, pump-out records, letters and documents you upload.
- Homeowner records: your property address, system details, service dates, your service company's name and email, and documents you upload.
- Basic technical data needed to run the service, such as sign-in times and error logs.
How we use it
- To run the app: show records, work out due dates, fill reports and county forms, and send sign-in links.
- To look up public county septic records for an address you enter.
- To support you and keep the service secure.
We do not sell personal information, and we do not use it for advertising.
Who can see it
- A company's records are visible only to people that company has added to its team.
- A homeowner's records are visible only to that homeowner.
- If a company chooses to be listed in the homeowner directory, its name, phone, email, website and counties served are shown to homeowners.
- We use service providers to host the app and its data (for example, Vercel for the website and Supabase for the database and file storage). They process data only to provide those services.
- We may disclose information if the law requires it.
Keeping and deleting data
We keep your data while your account is open. You can delete your account at any time from Account in the app. Deleting it removes your sign-in and your own records; files are cleared from storage within 30 days. A company's records stay with that company when a team member leaves.
Security
Data is sent over encrypted connections, and the database enforces that each person sees only the records they're allowed to.
Children
TankVault is for adults managing property and businesses. It is not directed to children under 13.
Changes
If we change this policy, we'll update the date above and, for significant changes, tell you in the app.
