Terms of Service
Last updated October 17, 2026
These terms cover your use of TankVault (the app at app.tankvault.app, the website and our mobile apps). By creating an account or using TankVault, you agree to them. If you use TankVault for a company, you agree for that company too.
What TankVault Does, and What Stays Your Job
- TankVault helps septic service companies and homeowners keep records, track due dates, prepare reports and letters, and send messages.
- You are responsible for your compliance. Licensed operators remain responsible for their inspections, sampling, reports and filings with the health department (including MyHD and county systems), and for meeting every deadline. Homeowners remain responsible for their own system's required maintenance.
- Due dates, status lights, regulation text and suggestions are tools to help you, based on the information entered and on our reading of published rules. Rules change and local requirements vary. Always check the regulations, your permit and your health department when it matters.
- AI features produce drafts. Values read from lab reports, inspection answers filled from notes, and answers to regulation questions can be wrong. A person must check them before they are saved, sent or relied on.
- Nothing in TankVault is legal, engineering or medical advice.
Accounts
- Keep your sign-in email secure. You are responsible for activity on your account and for the people you add to your company.
- Company owners control who has access to their company's records and can remove people at any time.
- You must give accurate information and have the right to enter the customer information you add.
Your Data
- Your records belong to you. You can export them at any time.
- We use your data only to run and improve TankVault, as described in our Privacy policy. We do not sell it.
- When you message homeowners through TankVault (letters, visit notices, reminders), you are responsible for having a real business relationship with them.
Plans and Payment
- Paid plans may start with a free trial. If you don't cancel before the trial ends, your plan starts and is billed monthly in advance until cancelled. Beta discounts apply only for the period stated when you sign up. You can cancel any time; access continues to the end of the paid month. We don't give partial-month refunds.
- The homeowner free plan stays free. Premium is optional and billed separately.
- We may change prices with at least 30 days' notice by email.
Acceptable Use
Don't misuse TankVault: no unlawful content, spam, attempts to access other companies' data, or interfering with the service.
Availability and Changes
We work to keep TankVault running and your data backed up, but we can't promise it will always be available or error-free. We may update features over time. If we ever shut TankVault down, we will give at least 60 days' notice so you can export your records.
Limits on Liability
To the extent the law allows, TankVault is provided “as is,” and we are not liable for indirect or consequential losses, fines, penalties or missed deadlines. Our total liability for any claim is limited to the amount you paid us in the 12 months before it.
Ending Your Account
You can delete your account in the app at any time. We may suspend accounts that break these terms or don't pay.
Law
These terms are governed by the laws of the Commonwealth of Virginia.
